Overview

Our client is a reputable fertility clinic offering an alternative treatment to conventional medicine for individual couples who struggle to have children.

What You Will Do

1. Book and reschedule meetings by receiving and making regular phone calls.
2. Coordinate appointments and retrieve case histories from clients before consultations.
3. Calling back clients as a reminder or a confirmation of their booked appointments. Maintain good correspondence with clients.
4. Updating confidential client records and handling data using computer software and paperwork.
5. Adhering to data protection laws
6. Frequent use of medical software to support the consultations.
7. Note-taking and taking minutes by recording the proceedings in a consultation.
8. Maintain and show quality customer/client service within all facets of communication.
9. Collect and combine the feedback of clients (i.e., phone back clients and record data).
10. Ad-hoc duties, helping consultants and managers when needed and suitable (i.e., labelling stock).
11. Excellent use of interdepartmental communication and transparency between all staff.

Required Qualifications, Skills and Competences

• Minimum of a Degree in Business Administration/Nursing/related field
• Minimum of 3 years working experience in an administrative role at a health facility
• Proven work experience within a similar role (preferred)
• Good communication skills within client-based environments.
• Competent level of written and spoken English.
• Competent level of spoken Twi.
• Good at typing and maintaining medical records to a good clerical level.
• A sufficient knowledge of MS Office, most notably MS Word and MS Excel.
• Excellent multitasking and organisational skills.
