Administrative Assistant

JOB SUMMARY
As an Administrative Assistant, you will play a pivotal role in ensuring the efficient operation of our office. You will be responsible for providing essential administrative support to our team, thereby enabling them to focus on their core responsibilities. Your duties will
encompass a wide range of tasks, including clerical and organizational functions, ensuring smooth communication, and assisting with various projects.

ESSENTIAL JOB FUNCTIONS

  • Communication and Coordination: You will be responsible for answering phone calls, scheduling meetings, and assisting visitors to our office. Professional and polite communication, both over the phone and through email, is crucial.
  • Document Management: Handle tasks such as filing, typing, copying, binding, and scanning documents to maintain an organized and efficient office environment.
  • Project Management: Assist in managing administrative projects by scheduling and assigning tasks, as well as expediting work results.
  • Travel Arrangements: Support senior staff by making travel arrangements, including booking flights, cars, and hotel or restaurant reservations.
  • Staff Development: Play a role in the growth of administrative staff by providing information, educational opportunities, and experiential learning opportunities.
  • Equipment Maintenance: Ensure the proper operation of office equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
  • Customer Service: Act as a liaison with clients across the group, providing them with information and addressing their requests to maintain strong client relationships.
  • Supply Management: Maintain office supplies inventory by checking stock levels, anticipating needs, and placing orders for supplies to prevent disruptions in office operations.
  • Team Collaboration: Contribute to the overall team effort by accomplishing related results as needed, fostering a positive and efficient working environment.
  • File all administrative and new staff documents.
  • Organize weekly staff meetings
  • Minute-taking during meetings
  • Any other duties assigned by management

Required Qualifications, Skills and Competences

  • Bachelor’s degree in business administration, or a related field
  • Minimum of 3 years experience as an administrative officer or similar role.
  • Hands-on experience in general office management and support
  • Strong customer service skills
  • Excellent communication and presentation skills
  • Proficiency in basic financial software and systems
  • Ability to work in a fast-paced, high-pressure environment
  • Should possess problem-solving skills
  • Good time management skills
  • Teamwork and Collaboration
