JOB SUMMARY
The Operations Support Assistant will provide comprehensive support to the Operations Supervisor in the planning, coordination, and execution of operational tasks. This role requires a proactive individual with strong organizational skills, attention to detail, and the ability to multitask effectively. The ideal candidate will ensure that day-to-day operations run smoothly and align with the company’s objectives and values.


ESSENTIAL JOB FUNCTIONS

1.  Administrative Support:

  • Maintain and organize operational files, records, and documents.
  • Assist in the preparation and scheduling of meetings, presentations, and reports.
  • Manage communications and follow up on tasks assigned by the Operations Supervisor.

2. Operational Coordination:

  • Track and monitor daily operational activities to ensure compliance with company policies and procedures.
  • Collaborate with other departments to facilitate efficient workflow.
  • Support the execution of special projects and initiatives as directed.

3. Procurement and Logistics:

  • Coordinate procurement activities, including inventory tracking and supplier management.
  • Support logistics processes such as dispatch, delivery tracking, and operational supplies.

4. Data Management:

  • Collect, analyze, and report data to support operational decision-making.
  • Ensure accurate data entry into company systems and maintain confidentiality of sensitive information.

5. Customer and Vendor Relations:

  • Serve as a point of contact for internal and external stakeholders.
  • Respond to inquiries, resolve operational issues, and escalate concerns when necessary.

Required Qualifications, Skills and Competences

  • A minimum of a Diploma or Bachelor’s degree in Business Administration, Logistics, or a related field.
  • 2+ years of experience in operations, administrative support, or a similar role.Hands-on experience implementing operational processes
  • A good knowledge of operational principles and policies.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to work collaboratively and maintain a positive attitude under pressure.
