Job Description
Direct Report: Chief of Party

The Administrative Support Specialist will be responsible for supporting the administrative and operations team and project leadership with a variety of ongoing activities and with needs that arise on an ad hoc basis.

Position Responsibilities

  • Scheduling and coordinating meetings and events, taking notes, and distributing notes after meetings and events
  • Supporting hiring and on boarding activities, including reviewing CVs, scheduling interviews, collecting paperwork from new staff, monitoring communications, and supporting training
  • Supporting procurement activities by taking inventory and tagging assets, as needed, and monitoring office supply levels
  • Coordinate office opening and closing procedures
  • Staffing the office front desk as needed
  • Support technical staff in preparing materials and briefings for project meetings and events
  • Other ad hoc tasks as assigned by project leadership, the Office Manager, or other members of the administrative and operations team.

Qualifications

  • Possess a Bachelor’s degree (B.Sc., B.A., B.Eng./B. Tech., etc.)
  • Master’s Degree will be an added advantage
  • Minimum of 7 years cognate experience

Required Skills

  • Cognate experience in administrative support role
  • High proficiency in Microsoft Office suite, including Word, Excel and Outlook
  • Excellent facilitation skills
  • Excellent coordination skills
  • Fluency in written and spoken English is required
  • Ability to respond on short notice and plan and execute several activities at once
  • Ability to work under pressure, as part of a team or independently, and meet deadlines consistently
