FRONT OFFICE OPERATIONS & ADMINISTRATIVE EXECUTIVE

Overview

A reputable company is looking to employ a Front Desk Operations & Administrative Executive to work with immediately.

What You Will Do

  1. Call existing customers every morning, check on them and receive order request from clients.
  2. Communicate order price based on pick up location and destination according to the approved pricing list and Confirm mode of payment with customer (i.e. cash or mobile money).
  3. Accurately record the order details which includes clients name, pick up location, delivery destination, price, beneficiary name and telephone and description of item in the assigned rider’s book and the daily sales book.
  4. Assign a rider to the order and obtain delivery confirmation from rider.
  5. Upon return of the rider, receive and record delivery fee from rider and or beneficiary and issue receipt to cover the delivery.
  6. Account for the daily sales, ensuring that the cash is equal to the sales value and send daily reports to supervisors
  7. Track the movement and location of each motor, reconcile the tracking movement with the daily sales record and produce daily report
  8. Resolve customer complaints promptly.
  9. Create and maintain accurate records and files of all staff and other administrative functions (e.g fuel, utilities, maintenance, etc).
  10. General oversight of the office and general administrative and secretarial duties including staff attendance, performance etc.
  11. Account for all trips accurately – Follow-up with delivery officers to ensure the recording of orders after pickups and drop-offs and ensure to collect cash and other details of customers immediately delivery officer(s) return from each trip.
  12. Speak politely to customers

Required Qualifications, Skills and Competences

Knowledge and skills includes

  • First degree in Business Administration (Finance / Management / Marketing / Human Resource option) or Social Sciences plus two (2) years post qualification relevant experience.
  • Experience in the Digital Transport Industry is an added advantage
    OR
  • HND in Management, Marketing, Finance or other related field with three (3) years post qualification relevant experience.
  • Experience in the Digital Transport Industry is an added advantage

Work-based competencies / skills

      • Knowledge of relevant legislation in the Transportation Industry
      • Knowledge of best practices in the Digital Transport System
      • Good written and oral communication skills
      • Computer literacy skills
      • Good marketing and sales promotion skills
      • Good analytical skills and judgment
